Job/Consumer Setup

  • Basic Setup Tab

    • Job Name
      • This name will appear as drop down globally in the system
    • Job Zone
      • Associates the job to a certain zone
    • Contact Name
      • Contact name for the Job (could be the same as Job name)
    • Employee Charting  
      • For the mobile app, turning this to Yes allows the caregiver to document tasks and observations
    • Status
      • Mark the job as active, inactive, or on hold. 
  • Location Tab

    • Address/City/Zip/Time Zone
      • The system uses a type-ahead feature to suggest addresses to make a selection from, select an address from the populated list
      • The address selected will populate time zone as well
    • Authorized Phone
      • Patient’s phone number that the employee calls in from
      • The job id is not needed if call is made from this phone number
      • You can add multiple phone numbers by clicking the plus sign button
    • Birthday
      • A field to record the clients birthday
    • Gender
      • A required field if using electronic claims 
    • Email ID
      • A field to record the clients email 
    • Cell Phone and Work Phone
      • A field to record the clients phone numbers 
  • Advanced Tab

    • Medical Record ID
      • A field to record the patient's medical record ID
    • External Codes 1, 2, 3
      • Optional fields for your agency for the purpose of your choosing
    • Budget Hours and Notes
      • Weekly hours the consumer can use, much like authorized hours. You can enter notes regarding the budget hours below in the notes field. 
    • Service Item
      • Where to record if the consumer needs a live in caregiver or regular service. The selections are customized in the Manage Lists - Service Items section in the left hand navigation menu. 
    • Pay Type
      • Optional field to designate a pay type for clients working with the patient such as overtime allowed or regular pay. The selections are customized in the Manage Lists - Pay Type 
    • Caregiver Hourly Pay Override 
      • If the caregivers who work on this specific client should get a different hourly pay than usual, designate the pay rate in this field. This new rate will be reflected in the payroll reports when that client is worked on. 
    • Alerts
      • If you want a caregiver to receive a two hour notice before their shift starts for this job, clock 2 Hour Warning. You can also send them alerts for late clock in and late clock out. 
    • Send Alerts to
      • Designate where you want any alerts regarding this job to go to, either the employee's zone or the job's zone. Your staff set up to receive notifications in either zone will get those notifications.
    • Allow Simultaneous Clock ins
      • Allow more than one caregiver to clock into the same job at once, for example if one caregiver leaves their shift late, the second caregiver that comes can clock into their shift on time. 
    • Live-In
      • Designate if the consumer needs a live in caregiver or not 
    • Job Group
      • Optional field to type in job group if your agency categorizes by groups
    • Client Preferences 
      • These are used when creating an open shift to generate a list of caregivers fit to care for a specific job
        • Speaks Spanish
          • Client speaks Spanish so they would like a caregiver who speaks Spanish
        • Male Caregiver
          • Prefers a male caregiver 
        • Female Caregiver
          • Prefers a female caregiver
        • Dementia Experience
          • Prefers a caregiver who has dementia experience 
        • Incontinence Experience
          • Prefers a caregiver who has incontinence experience 
        • Meal Prep Experience
          • Prefers a caregiver that has meal prep experience
        • Smokes
          • Prefers a caregiver who is okay with them smoking
        • Has Dog
          • Prefers a caregiver who is okay with working around the consumer's dog
        • Has Cat
          • Prefers a caregiver who is okay with working around the consumer's cat 
    • Client Requirements 
      • These are used when creating an open shift to generate a list of caregivers fit to care for a specific job. 
        • Live In 
          • The caregiver must be a live-in 
        • Full Weight Transfer
          • The caregiver must be able to provide full weight transfers 
        • Do Not Schedule with ____ Employee
          • If a caregiver is listed here they will not show up in the matching results when scheduling an open shift for this client
  • Notes Tab

    • Record job specific notes in this section. You can either allow notes to be edited/deleted or not, based on the agency detail configuration. 

  • Care Plans/ Docs Tab

    • Here you can enter multiple care plans, include the document date, renewal date, notes, and a pdf of the document. If you want this document to show in the mobile app, where it says Make Viewable in Mobile App, select yes. If this document is updated, switch the outdated document to no. 
  • Activity Code Tab

    • When?
      • Select when you want caregivers to be promoted for the activity code correlated to their visit, during clock in or during clock out
    • Select Activity 
      • Choose no activity code, a default activity code that will be applied to all visits to that consumer, or prompt the caregiver for the code when they are clocking in or out
  • Billing Tab

    • Select Billing 
      • None: Means you will be using activity code based billing 
      • Default Billing: Apply this billing code to all visits to this consumer 
      • ICD 10 Codes: You must select the diagnosis codes for the consumer 
  • Insurance Tab

    • Designate the Payer and insurance information related to the client
    • Payers can be added in the Manage Lists left hand menu section labeled Payers
  • Custom Prompts

    • When?
      • Select when you want caregivers to be promoted for the custom prompts assigned to that job, during clock in or during clock out. These are questions such as, "Did you shower the patient?".
    • Custom Group
      • Use custom groups or use prompt
      • These are set in the Manage Lists left hand menu section labeled Custom Prompts and Custom Prompt Group
      • You can combine Custom Prompts into groups so you do not have to select individual questions one by one
  • Authorizations

    • Shows authorizations associated with this job
    • Authorizations are created in the Authorization module found in the left hand navigation menu
    • You cannot make edits to the authorizations from the jobs module
